Position Description:

The Membership Administrator is responsible for supporting the membership team and organization in a cross-functional role. The ideal candidate for this role is an early-career individual who wants to jump-start their experience and become quickly acquainted with the Chicagoland business community. They will be responsible for supporting multiple teams while reporting to the Club’s Director of Membership. Strong time management and attention to detail are crucial for success in this role.

The duties of this position include, but are not limited to:

RESPONSIBILITIES

  • Support the Membership team in ensuring their day-to-day processes and tasks are completed efficiently and in a timely manner.
  • Become quickly acquainted with our CRM system and learn how to optimize it as the main resource of this role.
  • Manage membership reporting, updating corporate rosters, engagement reporting, and lapsed member reporting.
  • Perform audience development outreach for upcoming events, including outreach to previous event attendees.
  • Prepare invoices and send communications to members and organizations renewing.
  • Invoice and track membership payments for both new members and renewals.
  • Support the member process, including new profile creations and updating existing profiles. Maintain accurate and current data.
  • Update corporate profiles and contact information in the CRM database as needed.
  • Assist with member registration for events.
  • Collaborate with the Director of Membership to organize and oversee logistics for member events and ensure their successful execution.
  • Learn to build queries and pull reports and provide the necessary data for the team as needed.
  • Assist Membership team onsite at programs and meetings.
  • Perform other duties as assigned by the Director of Membership.

REQUIREMENTS

  • Associate or bachelor’s degree or equivalent practical experience required.
  • 1-2 years of work experience or an internship in an office setting preferred.
  • Highly effective organizer with outstanding attention to detail.
  • Able to handle multiple projects in varying stages of development and meet deadlines.
  • Able to maintain corporate confidentiality.
  • Proficient in Microsoft Office and knowledge of NetForum or other database (CRM) systems.
  • Able to work well with others in a small, fast-paced team-oriented environment.
  • Candidate must be willing to be available for occasional program setup as early as 6:00 am and evening receptions, which last until 8:00 pm.
  • Valid ID required.
