Through our signature series programs, forums, leadership development, and member events, we bring together business, civic and academic leaders from all industries to discuss issues and opportunities affecting business in Chicago and the world.

POSITION DESCRIPTION

The Events Manager is responsible for all logistics from start to finish of the Exec Club’s Signature Series Programs and other major Exec Club events, including establishing the overall budget for the events season, event contracts and negotiations. These events may include breakfasts, luncheons, dinners, or evening receptions, both in person, and in virtual format. The primary event season runs September through June while planning and development of programs continuing throughout the year. For in person events, the Events Manager must be available for set up of breakfast meetings as early as 6:00 a.m., and evening receptions that last until 8:00 p.m.

RESPONSIBILITIES

  • Run the entire logistical planning process for assigned programs and events from start to finish, both in person events and webinars. Logistical planning of programs includes:
    • Run pre-event site visits and manage all communications with venue contacts.
    • Ensure all events operate within the approved budget; identify shortfalls and provide action plans as needed.
    • Coordinate venue audiovisual arrangements and manage onsite for programsand events with designated internal and external contacts.
    • Coordinate Photography and Videography and manage onsite for programs.
    • Create and manage event registrations in our CRM platform, ensure the eventis built accurately, including pricing and discount codes, and ensure it istracking to the correct budget line item for accounting.
    • For virtual events, create webinar and manage all aspects of the platform,including linking registration to the CRM.
    • Work with the Content team to coordinate event communications—announcements, reminders, updates, post-program surveys and summaries.
    • General ticket and table sales management, including ongoing managementor current revenue vs expense, raising timely awareness with colleagueswhen events need extra marketing attention and sales effort.
    • Head Table and Speaker Reception guest list management.
    • Work with Partnerships team to coordinate seat allocations and sponsorship benefit fulfillment.
    • Manage Table and Registrant tracker.
    • Manage “day of” plan and team responsibilities, provide on-site supervision to ensure successful execution of events.
    • Provide oversight of all digital and printed marketing materials, including confirmation of correct sponsorship recognition
    • Confirm accuracy of venue BEOs and AV invoices against signed contracts and quotes to ensure that all events operate within the approved budget.
    • Conduct event evaluations via surveys and other feedback mechanisms after each program and routinely update running spreadsheets of evaluation ratings.
    • Coordinate speaker/panelist appreciation gifts and draft/send thank you communications.
  • Schedule internal event planning meetings for cross-org collaboration and alignment.
  • Regularly research and identify potential new event venues for Exec Club, schedule site visits and track specs for future events.
  • Oversight of events supplies inventory and storage space; when we are running low on items, order or request more.
  • Work closely with Partnerships team to identify new prospects and cultivate relationships.
  • Ensure integrity and quality of event-related databases. Manage and update event database items including event set up, registrations, payments, ticketing, and seating.
  • Identify opportunities to improve event operations and the member or event guest experience.
  • Be cost conscious and work within the pre-determined event budget.
  • Assist with the development of the department’s annual budget.

REQUIREMENTS

  • Minimum of 3 years of experience working in events management, hospitality, or logistics required.
  • Professional demeanor and ability to interface with all levels of clients, including C-Suite executives.
  • Outstanding verbal and written communication skills.
  • Highly effective organizer with outstanding attention to detail.
  • Able to handle multiple projects in varying stages of development and meet deadlines.
  • Must be proficient with virtual events.
  • Knowledge of NetForum or other CRM database experience preferred, as well as proficiency in Microsoft Office.
  • Highly developed customer service orientation and skills.
  • Able to work well with others in a small, fast-paced team-oriented environment.
  • Candidate must be available for program set up as early as 6:00 a.m. and evening receptions, which last until 8:00 p.m.
  • Valid ID required.
