BACKGROUND

The Executives’ Club is Chicago’s premier membership organization and business forum. The Club is a valued resource for Chicago’s business leaders - connecting members, providing opportunities for strategic relationship development, and enhancing exposure to the global business community thought leadership. Club membership is composed of senior level executives, including significant representation among CEOs of multinational corporations headquartered in the region, as well as professionals from Chicagoland’s business, civic, and academic communities. Founded in 1911, The Club is one of the nation’s oldest and most prestigious business organizations.


POSITION DESCRIPTION

The Forums and Member Engagement Associate is primarily responsible for supporting the execution and coordination of The Club’s Forum and Member Engagement programming. Forums are comprised of members from diverse industries whose interests represent specific corporate functional areas or areas of specialization. This position will play a key role in the execution of 25-30 events per year.

In addition, this position will be required to support the Member Engagement department in a variety of different capacities including event support, assistance with The Executives’ Club Advisory Board and Committees, and other administrative projects as assigned. At times, this role may also be asked to support the Membership Associate with projects including but not limited to, data entry and maintaining the membership database in The Club’s CRM.


RESPONSIBILITIES

FORUM RESPONSIBILITIES

Communications & Content Support

  • Create event materials such as agendas, discussion questions, and/or remarks for Forum events
  • Draft Forum announcements to members, including new events, meetings, and other general communications
  • Research speaker leads and topic ideas and maintain database of potential topics and speakers for future events
  • Update collateral materials for all Forum events
  •  Monitoring Forum LinkedIn groups and curating member content for Forum Groups
  •  Assist in featuring Forum activities and Co-Chair spotlights through items in The Club’s newsletter, social media, and other marketing vehicles
  • Collaborate with the communications and marketing team for all Forum-related digital material and event updates on the website
  • Liaise with the membership team to support member recruitment and engagement efforts when necessary

Data & Reporting

  • Manage up-to-date information of Forum membership lists in internal tracking documents and CRM database
  • Contribute to annual reporting projects including season recaps, company exposure reports, fulfillment reports, and member engagement lists
  • Gain expertise in CRM reporting procedures to assist in outreach efforts and event communications

Logistics Management

  • Assist in scheduling speaker prep calls, Forum Co-Chair calls, and Forum Meetings
  • Assist in registering guests for Forum events
  •  Support technical set up and execution of virtual Forum events, including streaming platform and management of online registration system, and other related administrative tasks
  • Staff all Forum events and activities as well as coordinate any needed support from other staff at The Club


MEMBER ENGAGEMENT RESPONSIBILITIES

  •  Provide administrative support for all member-focused programming, including workshops, orientations, member-only events and Leadership Development
  •  Manage member engagement calendars and provide regular reminders and updates to the Chief Member Engagement Officer
  • Create database profiles and assist in onboarding for leadership development programs
  •  Coordinate agenda and gather materials for all meetings of The Club’s Advisory Board and member-based committees
  •  Draft communications for member engagement initiatives and programs when necessary
  •  Assist in coordinating the distribution of The Club’s annual member survey
  •  Responsible for all logistical work leading up to and after each event, Including researching potential locations, coordinating site visits, sourcing menus, ordering catering, overseeing registration, and packing materials for any off-site events (when we return to in-person events)
  •  Draft communications to be sent to event attendees prior to and following each event
  • Attend and provide support for all programs and events
  •  Help the Membership Associate with post-event follow up regarding the new member pipeline
  •  Must represent and embody the essence of The Club to all levels of membership and event guests

REQUIREMENTS

  • Four-year degree preferred; experience working with a corporation, non-profit organization, association, or trade group preferred

  • Event planning and/or project management experience is a plus
  • Highly effective organizer with outstanding attention to detail
  • Strong written and verbal communication skills
  • Inquisitive and interested in keeping abreast of current events on the local, national, and global scene
  • Self-starter who is able to handle multiple projects in varying stages of development and meet deadlines
  • Ability to work well in a team-oriented and fast-paced environment
  • Proficient in Microsoft Word, Excel, PowerPoint, and Internet search tools; knowledge of Abila/NetForum or other database software preferred
  • Required to carry and/or lift up to 30lbs. and be able to stand for at least an hour at programs
  •  Valid ID required
